Domestic (U.S.) Policies

Reservations

Reservations can be made online at www.windancertravel.com or by phone at 717-468-0843.

 

Payments

Windancer Travel will accept Visa, Mastercard, Discover and American Express for all trips. We also accept PayPal, Zelle, ApplePay and checks. PayPal and Zelle payments should be sent to info@windancertravel.com. ApplePay should be sent to 717-468-0843. Check payments should be sent to Windancer Travel at 2985 Hearthside Ln, Lancaster PA 17601.

 

Payment Deadlines for Domestic (U.S.) Trips One-Day Tours 

Payment is due in full at time of booking.

Multi-Day Tours – A deposit equal to 50% of the trip cost is due at time of booking. Final payment for the balance of the tour is due 60 days before departure.

Refunds 

One-Day Tours - A full refund (less any credit card/ticket processing fees) will be given for cancellations made 60 days or more prior to departure date.

Cancellations received between 59 and 40 days prior to departure will be subject to a cancellation fee of $50 (plus any credit card/ticket processing fees). Cancellations received less than 40 days prior to departure are non-refundable unless you (the cancelling traveler) or Windancer Travel is able to fill the cancelled reservation with a new guest. If we are able to do so, a full refund (less any credit card/ticket processing fees) will be issued. In addition, money for reserved seat tickets or any other admission that has been paid by Windancer Travel will be refunded (less any credit card/ticket processing fees) only if the ticket is resold. No refunds will be given to people who fail to show up the day of a tour or cancel after 12:00pm the day before a tour.

Multi-Day Tours – A full refund (less any credit card processing fees) will be given for cancellations made 60 days or more prior to departure date. Cancellations received between 59 and 40 days prior to departure will be subject to a cancellation fee of $100 per person per day (plus any credit card processing fees). Cancellations received less than 40 days prior to departure are non-refundable unless you (the cancelling traveler) or Windancer Travel is able to fill the cancelled reservation with a new guest. If we are able to do so, a full refund (less any credit card/ticket processing fees) will be issued. In addition, money for reserved seat tickets or any other admission that has been paid by Windancer Travel will be refunded (less any credit card/ticket processing fees) only if the ticket is resold. No refunds will be given to people who fail to show up the day of a tour or cancel after 12:00pm the day before a tour.

 

Cancellation Policy for Minimum # of Travelers

One-day and Multi-day Tours – Windancer Travel reserves the right to cancel a tour if less than 25 reservations have been made 45 days prior to departure. If Windancer Travel cancels a tour, a full refund will be issued.

Itinerary Change

In the event of circumstances/events beyond our control, Windancer Travel reserves the right to alter or make substitutions of an equal value to the advertised itinerary.

 

Departure Times

Please refer to your itinerary for trip departure times. We ask that passengers report at least 15 minutes prior to departure time. We apologize that we will be unable to wait for late arrivals. Departure times from various tour destinations/activities will be announced by the tour leader prior to disembarking for scheduled tours and activities.

 

Photographic Release

Windancer Travel may take photographs or videos of its trips. Trip participants grant Windancer Travel permission to do so and for Windancer Travel to use same for promotional or commercial use without payment of any compensation to participant.

 

Smoking or Alcohol on Motorcoach

For the comfort of all travelers we maintain a no smoking/tobacco policy, including electric cigarettes. However, for those travelers who wish to smoke, frequent rest stops are provided. No alcoholic beverages are permitted aboard the motorcoach.

 

Travel Etiquette

As you will be part of a group tour, please be considerate to your fellow travelers and be on time for all activities and departures. Refunds will not be given to any passengers who are late for any departures. Passengers will be responsible for their own transportation if they miss the motorcoach. Due to the close proximity of other travelers please also be considerate of perfumes, colognes and scented lotions.

 

Cell Phones

We recognize it may be necessary for travelers to take or make phone calls while on board the motorcoach. Please be considerate of fellow passengers, keep calls as short as possible while on board and control the volume. At no time should a speaker phone be used.

Baggage

Each tour member is entitled to one piece of luggage (40 lb. maximum) plus one carry-on bag (purse/briefcase size) on multi-day tours. Even though every effort is made to supervise the careful handling of luggage throughout the tour, Windancer Travel will not assume liability for loss or damage due to breakage, theft, hotel or carrier handling, fair wear and tear, etc.

 

Responsibility

Windancer Travel LLC acts only as an agent and assumes no liability in arranging hotels and other accommodations and cannot be responsible for non-performance on the part of hotel proprietors or others entrusted to provide tour feature and shall not be liable for any inconvenience due to weather, traffic, accidents, acts of God or acts of terrorism. We reserve the right to decline to accept any person as a member of the tour, and to cancel or make changes in any itinerary to best protect the safety, comfort and enjoyment of the majority of the tour participants. We also reserve the right to increase our prices if circumstances require it, but will provide advance notice to travelers with an option to cancel with full refund. Any passenger under the age of 18 must be accompanied by an adult.
